Below is the email that was sent to all private land owners on May 14, 2019, 10:15am EST.
My name is Aaron Palaian. I’m the director of the Inaugural Odyssey SwimRun Les Cheneaux Islands slated for Sunday, September 8, 2019.
It is my understanding that summer residents Kip Horsburgh and Dave Parlin have contacted either you, or a family member, by phone on our behalf, to discuss gaining your permission for the athletes to cross your property as part of our planned race course. We greatly appreciate their volunteer efforts, your enthusiastic response to their calls, and especially your willingness to help us make this new event a success.
We have worked with Clark Township, the U.S. Coast Guard, and the Les Cheneaux Chamber of Commerce to design a challenging race course for our athletes, while at the same time featuring the spectacular beauty that your islands have to offer. We have received their full support of the concept, as well as their approval for our use of a number of public roads and lake access points along the course.
Participants traversing the course's 16 running and swimming segments will will naturally spread out during the course of the race, and hence arrive on your property over time, in very small groups. Volunteers will be present at each water entry and exit point to check athletes in and out and along the way during the run athletes will be guided by eco friendly non stick tree tape and/or small bright survey flags that will all be picked up after the event concludes on Sunday.
You and other private property owners are the final piece in finalizing the course itself. The purpose of the is email is to provide you with additional background information on the planned race course, as well as the event. Next week, we will send an additional email with our formal request for your approval for the course to cross your property. In order to obtain the additionally insured insurance certificates for each land owner, we need to gain conditional approval for land usage from each of you (the purpose for next week’s email). Once we have that conditional approval we will submit requests to our provider for those insurance certificates and when they obtained we will then send them to each land owner to finalize your land usage permission.
